This Privacy Policy describes how FlowMint LLC (“FlowMint,” “we,” “us,” or “our”) collects, uses, and shares information about you when you visit our website at getflowmint.com, call one of our published phone numbers, or otherwise interact with us through the channels described below.
This Privacy Policy applies to FlowMint’s website and direct visitor interactions. It does not govern the data we handle on behalf of partner organizations during paid engagements — that data is handled per the individual engagement agreement between FlowMint and each partner organization, which incorporates any applicable data-processing terms required by the organization, its funders, or its regulators.
Information We Collect
Information you provide directly through our forms. When you complete the scoping-conversation request form (or any other form) on getflowmint.com, you provide information such as your name, role, email address, phone number, organization name, organization type, your current website URL, and a description of what’s prompting the conversation. We store this information in our website’s database and forward it to our internal notification system so we can respond to your request.
Information we collect when you call our published phone numbers. FlowMint operates a small number of published phone numbers, including a demonstration line at (434) 442-5467. When you call one of these numbers, our telephony provider (Twilio) captures call metadata, including your phone number, the time and duration of the call, and the outcome (answered, missed, busy, failed). If your call goes unanswered, our system may send you a single automated SMS reply. Details about that SMS practice are in our SMS Messaging Terms and in the SMS Messaging section below.
Information we collect from your browser. Like most websites, getflowmint.com collects standard web log information, including your IP address, browser type, referring page, and pages you visit on our site. We use this information in aggregate to understand site usage and improve our service. We use cookies for essential site functionality and may use privacy-respecting analytics tools (see Cookies and Analytics below).
Information from third parties. We do not purchase or receive personal information about you from data brokers or advertising networks.
How We Use Your Information
We use the information we collect to:
- Respond to inquiries and requests you send through forms on our website
- Schedule and conduct introductory and scoping conversations
- Follow up with callers whose calls we were unable to answer, via a single automated SMS reply (see SMS Messaging below)
- Communicate with prospective and current partner organizations about our services
- Operate, maintain, and improve the getflowmint.com website
- Comply with applicable legal obligations and enforce our terms
We do not sell your personal information. We do not use your information for third-party advertising. We do not use your information to train artificial intelligence or machine learning models.
How We Share Your Information
We share information only in the following circumstances:
Service providers. We use a small number of service providers to operate FlowMint’s website and communications:
- Twilio — telephony and SMS infrastructure. Receives phone numbers and message content as necessary to deliver calls and SMS.
- Our WordPress hosting provider — website hosting. Stores website content and form submissions.
- Email delivery provider — used to deliver notification emails when forms are submitted on our site.
- Analytics provider, if enabled — receives anonymized site-usage data only; does not receive form submission content.
Each of these providers is bound by its own terms of service and privacy commitments. We share information with these providers only to the extent necessary for them to operate the service for us.
Legal requirements. We may disclose information if required by law, to respond to a subpoena or court order, or to protect the rights, property, or safety of FlowMint, our partner organizations, or the public.
Business transfers. If FlowMint is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on the website before your information becomes subject to a different privacy policy.
Data Handled During Partner Engagements (Separate Scope)
When FlowMint is engaged by a partner organization on a paid engagement (modernization, stewardship, or structured site review), we may access or process data within that organization’s WordPress site, hosting environment, CRM, email marketing platform, donation platform, or analytics system in the course of the work. That access and use is governed by the engagement agreement between FlowMint and the partner organization, not by this Privacy Policy.
Where the partner organization’s privacy practices, funder requirements, or applicable regulations require specific data-handling commitments (for example, FERPA for education organizations, HIPAA for healthcare-adjacent organizations, or government data-handling requirements for municipal engagements), those commitments are incorporated into the engagement agreement.
If you are an end user of a website that FlowMint helps operate on behalf of a partner organization, that organization’s own privacy policy governs how your data is collected and used — not this one.
SMS Messaging
FlowMint operates an automated missed-call text-back SMS program limited to FlowMint’s own published demonstration phone number(s). By calling one of those numbers, you consent to receive a single automated SMS reply from that number if we are unable to answer your call.
- How you opt in. By calling a FlowMint phone number.
- What you receive. One automated SMS reply per missed call, confirming we received your call and letting you know we will follow up. Example message content is included in our SMS Messaging Terms.
- How to opt out. Reply STOP to any message. See SMS Messaging Terms for the complete opt-out keyword list.
- Cost. Message and data rates may apply. Check with your mobile carrier.
- Help. Reply HELP to any message for support contact details.
Your phone number and SMS conversation content are stored by FlowMint and by Twilio for the purpose of operating the service. We do not share your phone number with third parties for marketing purposes.
Cookies and Analytics
Our website uses cookies and similar technologies for essential functionality (such as keeping administrators logged in). We may also use privacy-respecting analytics tools to understand how visitors use the site at an aggregate level. You can disable cookies through your browser settings; doing so may affect some site features.
We do not use third-party advertising cookies or cross-site tracking technologies on getflowmint.com.
Data Retention
- Form submissions are retained in our system until you request deletion or until we no longer have a business need to retain them.
- Call metadata and SMS conversation history are retained for up to 12 months to support follow-up and service quality.
- Web log data is typically retained for up to 90 days.
You can request deletion of your data at any time by contacting us (see Contact below).
Your Rights
Depending on where you live, you may have the following rights regarding your personal information:
- Access. Request a copy of the personal information we hold about you.
- Correction. Request that we correct inaccurate information.
- Deletion. Request that we delete your personal information, subject to limited exceptions (for example, if we are legally required to retain it).
- Opt-out of SMS. Reply STOP to any automated message (see SMS Messaging above).
- Opt-out of marketing email. If we send you marketing email, each message will include an unsubscribe link.

Children’s Privacy
FlowMint’s services and website are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it.
Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the Effective Date at the top of this page and, when appropriate, notify visitors through a banner on the website or by other reasonable means. Your continued use of the website and our services after changes take effect constitutes acceptance of the updated policy.
