Our approach

A structured methodology for long-term WordPress care.

Every FlowMint engagement runs through a clear, documented methodology — so your team always knows what phase we're in, what's happening, and what comes next.

Engagement methodology

Six phases from agreement to ongoing stewardship.

The same methodology runs every engagement — adjusted in detail to fit the organization, consistent in shape.

Engagement Agreement

Scope, terms, timeline, and working norms confirmed in writing. The relationship is documented before any work begins.

Discovery

Structured intake covering organizational context, brand assets, integration footprint, stakeholder roles, and what success looks like.

Site Review & Working Plan

A comprehensive review of your current site (or scoping for a new site), producing a prioritized working document for the engagement.

Implementation

The actual work — modernization build, content systems setup, integration configuration, accessibility implementation — executed against the working plan.

Launch & Handoff

Final accessibility verification, launch, staff orientation, and documentation handoff — so your team retains operational knowledge of the site.

Stewardship

Ongoing monthly engagement — updates, monitoring, content support, accessibility maintenance, monthly check-ins, structured reporting.

Documentation

Written records that stay with your organization.

Documentation isn't an afterthought or a separate deliverable. It's a default output of every phase, written in plain language for the people who'll use it.

Working plans

The prioritized working document from the Site Review phase becomes the reference for the engagement year, updated as priorities shift.

Decision logs

Significant decisions — scope changes, integration choices, accessibility trade-offs — are recorded with context, so the rationale is preserved.

Change records

Every update applied to the site is logged with date, summary, and (where relevant) reason — so you have a complete operational history.

Monthly reports

Structured monthly reporting covering updates applied, issues caught, time used, performance baselines, and what's next.

Communication

A cadence that fits how your team actually works.

Stewardship engagements are built around a predictable rhythm — so updates aren't a surprise and questions don't sit in inboxes.

Monthly check-ins

A standing monthly review with your team — typically 30 minutes — covering site health, active priorities, and the month ahead.

Eastern Time business hours

Standard business hours response practice in Eastern Time. For organizations in other time zones, this is documented in the engagement agreement.

Channels for different request types

Routine requests, project work, and urgent issues each have a defined channel and expected response window — clarified at engagement start.

Visibility into what's happening

Active work is visible to your team — what's in progress, what's waiting on you, and what's queued for the next month.

Collaboration

A primary web partner, not a vendor handing you deliverables.

Stewardship works because it's structured as a partnership — your team brings organizational context and priorities, we bring implementation depth and operational continuity.

Shared planning

The working plan is updated together — priorities shift, campaigns happen, organizational direction evolves, and the plan reflects that.

Joint prioritization

Decisions about what to work on next are made together, not assumed. Your team knows the why behind each project.

Direct accountability

You talk to the person who does the work. No relay through account managers, no rotating points of contact.

Knowledge continuity

If the engagement ends, your team retains every working document, change record, and operational reference. The knowledge stays with your organization.

What this looks like in practice

Practices that stay consistent.

These aren't aspirational. They're how every engagement is structured.

WCAG 2.2 AA

reviewed at every change

Accessibility is not a separate audit phase — it's the default review every change runs through.

Monthly

check-ins and site health reporting

A standing monthly review with structured reporting on updates, performance, and active priorities.

Multi-year

engagement arcs

Most engagements continue as annual stewardship retainers, renewable year over year by mutual agreement.

Documented

change history

Every change is logged. Every decision is recorded. You always have a written trail of what we did and why.
